AI Training Checklist

A structured checklist for planning and delivering AI literacy training to staff. Covers pre-training preparation, session delivery, and post-training follow-up.

Who is this for?

Training coordinators, line managers, L&D teams, and IT leads responsible for upskilling staff on AI tools and responsible AI use.

When to use it

Before rolling out a new AI tool to staff, or when conducting a planned AI literacy training programme across a team or department.

## Phase 1: Pre-Training Preparation

### Needs Assessment
- [ ] Identify the staff groups who need training (all staff / specific roles / managers only)
- [ ] Survey or interview a sample of staff to gauge current AI knowledge levels
- [ ] Identify specific tasks where AI tools will be used
- [ ] Note any concerns or anxieties staff have raised about AI

### Content and Resources
- [ ] Define learning objectives (what should staff be able to DO after training?)
- [ ] Select or create training materials (slides, handouts, video clips, worked examples)
- [ ] Prepare real-world examples relevant to staff roles
- [ ] Include a section on what AI tools cannot do / their limitations
- [ ] Prepare hands-on exercises for participants to try the tool themselves
- [ ] Prepare FAQ document for common questions
- [ ] Have a copy of the AI Acceptable Use Policy ready to distribute

### Logistics
- [ ] Book training venue or virtual platform
- [ ] Send calendar invites with joining instructions
- [ ] Confirm device access — will staff use their own machines or shared devices?
- [ ] Check that approved AI tools are accessible on all participant devices
- [ ] Arrange a backup plan if the tool is unavailable on the day

## Phase 2: Training Session Delivery

### Opening (10–15 minutes)
- [ ] Welcome participants and explain the purpose of the session
- [ ] Acknowledge that some staff may be uncertain or anxious — normalise this
- [ ] Outline the session structure and timings
- [ ] Confirm house rules (questions welcome, phones on silent, etc.)

### Core Content
- [ ] Explain what AI tools are and how they work (in plain language)
- [ ] Demonstrate the approved tool(s) live — show realistic work tasks
- [ ] Explain what the tool is good at and where it falls short
- [ ] Walk through the Acceptable Use Policy key points
- [ ] Cover data protection rules: what must never be entered into an AI tool
- [ ] Demonstrate how to review and verify AI-generated outputs
- [ ] Show how to report concerns or errors

### Hands-On Practice
- [ ] Participants try the tool on a realistic task (pre-prepared scenario)
- [ ] Facilitate group discussion: what worked, what surprised them, what they'd use it for
- [ ] Address misconceptions as they arise
- [ ] Demonstrate at least one example of an AI "hallucination" or error

### Closing
- [ ] Recap key rules and responsibilities
- [ ] Share where to find the policy, approved tools list, and support contact
- [ ] Distribute sign-off sheet if required (Acceptable Use Policy acknowledgement)
- [ ] Explain next steps: any follow-up training, resources, or check-ins
- [ ] Collect feedback forms

## Phase 3: Post-Training Follow-Up

### Immediate (within 1 week)
- [ ] Send follow-up email with link to policy, resources, and support contact
- [ ] Collate feedback forms and identify any knowledge gaps
- [ ] Confirm signed Acceptable Use Policy forms have been collected from all participants
- [ ] Log training completion in the HR or L&D system

### Short-term (within 1 month)
- [ ] Check in with managers to ask if staff are using the tool confidently
- [ ] Note any incidents or policy queries that have arisen
- [ ] Offer a Q&A drop-in session if needed
- [ ] Review any AI-related errors or near-misses and update training if required

### Ongoing
- [ ] Schedule refresher training (at least annually, or when tools change significantly)
- [ ] Update training materials when the AI tool is updated or replaced
- [ ] Feed any common issues back into the Acceptable Use Policy review process
- [ ] Track completion rates and ensure all new starters receive training
